Hi there, I’ve seen a few posts on this but a lot of them are older or don’t have quite the complexity I’m looking at and was hoping someone in a similar situation might have some advice. I’m going back to school to finish my degree in the Fall, and my school email uses Outlook. I use Google personally, as well as for the non profits I’m a part of, so my email set up looks like this: Personal email School email Professional email Nonprofit email #1 (I’m responsible for monitoring) Nonprofit email #2 (also responsible for monitoring) Personal nonprofit email (myname@specificnonprofit.com) I have a work email too, but that I keep totally separate and on my work laptop. I need to be able to see all of these emails in one place and also make sure I don’t lose any. I have a desktop PC and a laptop Mac (because I’m apparently a lunatic lol). What is the best way to see everything in one place so I can stay on top of them and not miss anything? If I route them all into my personal Gmail account, will any rules I set up in that account also work for the other accounts I’m routing in? How does that work for the outlook account? Def interested in any software that can help me manage this without losing my mind.

I feel your pain. Managing multiple inboxes is a nightmare. **Option 1: Forward everything to one Gmail** You can forward all accounts to your personal Gmail and use labels/filters to keep them organized. Pros: Everything in one place, Gmail's search is good Cons: Replies will come "from" your personal email unless you set up "Send as" for each account. Rules/filters only apply to stuff after it hits Gmail, not on the original accounts. **Option 2: Email client (Thunderbird, Mailspring, etc.)** Add all accounts to one desktop app. Pros: Native support for multiple accounts, see everything in one unified inbox Cons: Desktop-only (unless you use something like Spark which has mobile apps) **Option 3: Superhuman, Spike, or similar** These are paid but built specifically for managing multiple accounts. Pros: Actually designed for this use case Cons: $$$ **My setup:** I use Gmail with everything forwarded + "Send as" configured for each account. Takes like 10 minutes to set up per account but then it just works. I use labels aggressively to keep things separated.For Outlook specifically, you can forward in the settings or add it to Gmail via POP/IMAP. One warning: don't mix work email with this. Keep that totally separate like you're doing. How urgent is the monitoring for the nonprofit emails? If they're super critical, might want them separate so nothing gets lost in the noise.
Thanks that’s all super helpful. At the moment nothing is super urgent, but both non-profits are growing rapidly and we need to be able to ensure nothing falls through the cracks. But I personally need to be able to see everything on my plate at one time. Things may become more urgent as time goes on, so definitely need to be prepared for that possibility. Is there a good way to make more visibility without a full separation? If rules don’t carry over to the main box when they’re routed there (thanks so much for that info btw), is it good to have rules set up in the individual boxes so those stay organized automatically or does that leave room for things to get lost in the noise?
I’d avoid turning this into one giant “everything inbox” long term. It feels simpler initially, but eventually the cognitive load and failure modes become brutal once responsibilities grow. What’s usually worked best for me is: - unified visibility - separated responsibility Meaning: - one client/interface to view everything - but rules, labels, escalation logic, and ownership still live at the account level where possible Otherwise you eventually end up with one mega inbox where low signal noise trains you to ignore important things. For the nonprofit accounts specifically, I’d probably create: - dedicated labels/views - VIP filters - separate notification priority - maybe even a lightweight daily digest/escalation system The dangerous part isn’t volume, it’s silent misses. A lot of productivity systems fail because they optimize for consolidation instead of attention management.
I had this issue. I looked for ages to find a solution. I ended up settling with an email program called spark. It has a few good settings and a few annoying parts. I’ve been using it for 18months. Good luck with your search
I don't know how this would work on PC, but on Android I added all my Gmail accounts to Outlook. I can see everything in a single inbox, or I can look at each individual email account.
