How do you all keep up with customer messages across different channels?

Running a small business means messages come in from everywhere. WhatsApp, email, Instagram DMs, Facebook, the occasional text, sometimes phone. I keep feeling like I'm bouncing between apps and dropping things, and a customer waiting two days for a reply because it got buried in one inbox isn't a great look. Curious how others handle this. Have you found a way to pull everything into one place, like a unified inbox, or some setup that works? Or are you just living in a dozen tabs like I sometimes feel like I am? Interested in what's actually working for you, whether it's a tool, a system, or just a habit that keeps things from slipping through. Also curious if it gets harder to manage as you grow, or if it eventually forces you to solve it properly.

Have you tried to funnel all of the messages to a generalized location, so you can see them all in one spot? Look for a platform that can centralize social messages in 1 location. example: Hubspot, Intercom, ZenDesk, etc.
The habit that actually stuck for me was picking ONE channel as the source of truth and training customers toward it, instead of trying to unify everything with a tool. WhatsApp specifically is the hard one: it is not just another inbox, since there is a 24 hour reply window built into the platform itself, so a message that sits for two days there is not just slow, it is often unreachable without a template. I ended up connecting WhatsApp to something that answers the repetitive stuff instantly using our real catalog and prices, so only the messages that need a human judgment call ever hit an inbox. That cut the volume enough that a dozen tabs stopped being the problem.
We built Dmscout because we had the exact same problem. It's a unified inbox for Instagram + WhatsApp where your team sees every conversation in one place instead of constantly switching apps. On top of that, it has an AI agent that answers product questions, FAQs, order queries, handles objections, upsells, and hands conversations over to a human whenever needed. It's been a huge time saver for businesses handling a lot of DMs. Happy to answer questions if anyone's curious.
Yeah, this gets harder fast once messages are split across email, Instagram, Facebook, text, and booking apps. What I have seen work best for service businesses is not trying to answer faster inside every separate inbox. It is creating one intake path for anything that actually needs follow-up. A simple version: keep DMs and texts for first contact reply with one consistent next step push real inquiries into a single form or CRM capture the same fields every time, like service wanted, timing, phone, and any must-know notes assign one place where the team checks and replies from The reason this helps is that the real problem usually is not the reply itself. It is that details live in five places, so people miss context, forget follow-up, or ask the same questions twice. For beauty and appointment-based businesses, this gets even messier when client info, consent, and intake answers are all in different tools. Once the inquiry is standardized early, the rest of the workflow gets a lot calmer. So yes, a unified inbox can help, but I would honestly prioritize a single capture system first. If the intake is messy, a unified inbox just centralizes the mess.
Currently living in a dozen tabs, no shame. Been eyeing something like Front or Trengo that pulls it all into one inbox but haven't pulled trigger yet.
You can route WhatsApp, IG, FB and email into one inbox. Some tools handle it out of the box, and if your mix of channels is a bit odd you can connect them into one view yourself
