How do you manage Ads and bookkeeping on Shopify

I run a health and wellness brand on Shopify and my excel workflow of bookkeeping is becoming a mess. My current setup: Shopify for orders, Meta pixel and GA for Ads, spreadsheets to manually consolidate everything Problems: Revenue reported across multiple platforms and Shopify don't match, no clear picture of profit after ad spend, cogs, attribution is confusing I want to understand how I should maintain clear bookkeeping with clean analytics Thanks in advance

If I can connect my Meta, Google Ads account, how will it take care of when both the platforms are attributing the order. Does it clearly handles that part also?

ran into this exact thing when i was running a supplement store — the revenue mismatch between platforms drove me insane until i realized you basically have to pick ONE source of truth for revenue (your store's actual orders) and treat everything else as directional. i built a simple daily sheet that pulled orders from the store, subtracted COGS and ad spend, and gave me a rough daily profit number — nothing fancy but it was 10x better than trying to reconcile three different dashboards. are you at least pulling your ad spend into one place or is that scattered across platforms too?

What is the scale that you are operating? I know with time, I also want to track the conversions and order attribution from different platforms which will help me to understand which Ad platform is working for my Ad.

the mismatch is normal, shopify is your only real revenue number and meta/GA are just attribution models that will never reconcile to the dollar. what you actually want is a profit dashboard that pulls orders, ad spend, cogs and fees into one view, there are a few shopify apps in the $30-50/mo range that do exactly this and kill most of the spreadsheet pain. search "shopify profit dashboard" and you'll find the main ones

Shopify revenue and channel revenue aren’t meant to match and I’ve seen people drive themselves mad trying to true them up. Unless Meta is literally reporting more revenue than your store has (over reporting issue), you’re good. Here’s how I do it: Track roas on the engine level and use that as a source of truth when you’re optimizing that channel. Make sure that revenue/order tracking is accurate of course. Track MER (marketing efficiency rate) on the store level for marketing profit tracking. The formula is revenue / all ad spend and is just used to measure overall efficiency. I would only bring in top line revenue from Shopify and ad spend from marketing channels into your p&l. Channel revenue should not make its way there and will only confuse you.

shopify, meta, and ga often show revenue mismatch, manual excel bookkeeping becomes messy, and ad spend, cogs, and attribution are not clearly tracked.. this is a common pain for many health and wellness brands. you can try enabling shopify native tracking, meta capi, and google enhanced conversions, which can help improve revenue matching. alongside that, using a unified system to clearly track profit and loss and attribution can make the data much cleaner and more reliable.

What everybody said, you need one source of truth (or one per sales channel if you have more stores) plus the model for ads attribution. At my company this is handled by an internal system that gets raw order data from Shopify/WooCommerce via webhooks which is the primary source of truth. Ads cost are from their respective platforms and campaigns are tagged with keys which allow their correlation to sales channels and product categories. All sales data is weekly auto exported into accounting software as invoice data with payment ID allowing to bridge the gap between invoices and transactions. Any imperfections with reconciliation of the two become a signal something is off and needs investigating. So far it's been quite a stable system tbh

The mismatch is normal. The problem is trying to make everything match. Shopify is your real revenue. Meta and GA are just attribution, they won’t line up cleanly. Where it breaks is using one spreadsheet for both bookkeeping and marketing. Those are two different things. Split it: accounting = Shopify revenue minus COGS and fees. Marketing = MER (total revenue vs total ad spend). Then look at what each channel is actually bringing you, not just revenue but the kind of customers. That’s why we built our platform. It ties orders, spend, and margin together, and shows how customers from Meta vs Google behave after the first purchase. That’s usually where the answer is. One channel looks great on ROAS but doesn’t hold up. Another looks average but drives better customers. Food for thought...

When revenue doesn’t match across Shopify, ads, and spreadsheets, it’s usually because each platform records timing and adjustments differently. Especially refunds, discounts, edited orders, and fees. Most founders I talk to end up building their own reconciliation workflow because the default reports don’t line up cleanly. Are you mainly trying to get a clearer profit picture, or to make the financial side less manual?

quickbooks online integration with shopify saved my life when i was doing similar stuff for side hustle - auto syncs everything and you can connect your ad accounts too so profit margins actually make sense
