can’t keep up with follow-ups

i can get a few replies here and there but the real problem is keeping track of everything after the first message. i miss follow ups, send them too late, or they start sounding copy paste when i try to scale it. been thinking it’s less about finding leads…

i can get a few replies here and there but the real problem is keeping track of everything after the first message. i miss follow ups, send them too late, or they start sounding copy paste when i try to scale it. been thinking it’s less about finding leads and more about managing the process, even started looking into automation( checking LeadFlux now) in hope of making things more organized how are you guys handling this without dropping leads or sounding robotic?

Store every convo in one place with clear stages like new, waiting, follow up, closed so it’s easier to see what needs attention, then check it at the same time each day so nothing slips, and instead of reusing full messages use quick prompts in your head and write each follow up fresh so it doesn’t feel stiff

i think most people optimise for finding leads when the actual leak is in follow-up timing and personalisation at scale. and what can actually help is separating the tracking layer from the messaging layer. A simple CRM or even a Notion board handles state (where each lead is, when to follow up), while a lightweight AI agent can handle the messaging by pulling context about that specific person/company before drafting anything, so it never sounds templated. The robotic feeling usually comes from sending the same message faster, not from automation itself. If the agent researches the lead before writing, it sounds like you remembered them because contextually, it did. incase you need any help with that you can DM me

I’d separate the tracking from the message writing. The system only needs to show who needs attention today. The message itself should still be written from context. Even a simple sheet can work if it tracks source, first contact date, last touch, status, next follow-up date, and one short note about what they actually asked for. The robotic feeling usually comes from reusing the same full message, not from having a follow-up process.

The copy-paste problem is almost always a systems issue disguised as a messaging issue. People rewrite templates when the real fix is reducing how many threads one person is managing at once. Two things that actually work: A dead-simple Trello board with columns (Replied -> Follow-up Due -> Waiting -> Dead) beats managing 40 threads in your head. You see what needs attention today, nothing slips. On the robotic feel - your follow-up has no memory of the first conversation. "You mentioned timing was the issue - still the case?" feels personal. "Just following up on my last message" doesn't. Past a certain volume though, the real question shifts from "how do I write better follow-ups" to "which leads deserve my time and which ones need a system." The math on doing it all manually just doesn't close. What's your current volume - 20 active threads or closer to 200?

Recognizable problem, we ran into this too. I'm building a tool called ReplyWell to automate our own follow-ups because I couldn't find a simple solution. We're still testing it internally right now, so it’s not open for users yet. But if you’re interested, I can give you a shout once we're ready for external beta testers?
