I run a small epoxy flooring business. Bookkeeping takes way too much time. Sending invoices is easy. Chasing payments is not. Then I have to match deposits, upload receipts, track material costs, fix categories, and reconcile the bank account. QuickBooks still gets things wrong. Transfers show as income. Payments don’t match invoices. I end up checking everything myself. Has anyone found an AI bookkeeping tool that actually helps? I mainly need invoicing, payment tracking, expense categorization, and reconciliation. No payroll. Just less admin and fewer mistakes.

I'd be careful with "AI bookkeeping" as the main control layer. The useful version is usually: OCR/import receipts, suggest categories/matches, flag weird transfers, then leave reconciliation/final books as an approval step. For your case I'd look for: bank feed + invoice/payment matching first, rules for common material vendors, receipt capture tied to jobs, and a review queue for anything low-confidence. Transfers showing as income is exactly the kind of thing you want the system to flag, not auto-fix invisibly. The win is fewer items to inspect, not zero inspection.

The thing that killed most of my payment-chasing wasn't software — it was requiring 50% up front and the balance due on completion, written into the contract with a late fee that actually kicks in. For the receipt/material mess, snap a photo of every receipt in the truck the second you get it and note which job it's for; doing it at the moment beats any month-end catch-up you'll never actually do. Run a dedicated business checking account and card so nothing personal touches it — reconciling gets way faster when every line is already a business transaction. Honestly the bookkeeping got easy once the cash flow and habits were fixed; no tool fixes messy inputs.

AI bookkeeping can help with the annoying bits, but it still needs guardrails. Receipt capture, bank feeds, vendor rules and invoice matching are useful, but transfers being treated as income is exactly why I would not want the system making final decisions without a review step. For a trade business, the bigger issue is usually connecting the job to the money. Materials, deposits, final payments, receipts and actual job margin need to line up cleanly, otherwise bookkeeping becomes a weekly clean-up job no matter what tool you use. If the business keeps growing, NetSuite Australia is the stronger long-term type of setup because it is more about finance, job costs, inventory/materials and reporting working from one source of truth. For now, the best “AI” win is probably fewer things to check, not no checking at all.

We try to use some solutions as well and exploring a AI solution with human verification layer that integrates with quick books. Without human verification i wouldn't use anything
