does anyone know a simple tool that replaces excel for a small business? not looking for accounting software, just somewhere to keep orders and stock straight. what's working for you?
still running orders out of a spreadsheet and it's getting away from me. shipped the same order twice last week because two rows said the same thing and I didn't catch it. what was the moment you gave up on excel? and what did you move to? every time I search…
still running orders out of a spreadsheet and it's getting away from me. shipped the same order twice last week because two rows said the same thing and I didn't catch it. what was the moment you gave up on excel? and what did you move to? every time I search I get quickbooks or some enterprise thing with a sales call attached. I've got one home business, I don't need any of that. is there anything simple out there that actually works for a business this size?

So can just using conditional formulas. We don’t need ai for everything.
Hell, google docs can do that.
How did the excel end up with double entries? Are you adding orders there manually?
You don’t need a new tool, you need a better process to manage your orders as the failure was human. There may be some tools that can bring your WhatsApp and instagram orders and phone calls into a single platform. I can’t say how they work as all of our orders come in on our website.
Can you change the process so you dont ship anything without entering the unique payment tracking number? A lot can be done with google sheets and appscript.
Google sheet + ai. It can flag duplicate entries.
Try Smartsheet and you can create a form linked to a sheet
You can learn to build a more robust and duplicate-free system in Sheets or Excel (Excel being overkill) using AI. Show it your current workbook and how you want it to work. I use ChatGPT, and it builds complex workbooks that parse and normalize order data. Once you have that, you can also build an app using AppSheet or Glide.
Google sheets + AppSheet can be very powerful. Make your own CRM.
If you know some programming, you could vibe code a custom app. I just did that in a few days of work for an internal dashboard to track the product I manage. I wouldn't vibe code anything external, but for internal tools, vibe coding can make some great stuff quickly.
Google Sheets + form and air table with forms are free. Prevent data double entry
Shipstation. Better rates on shipping and you can manually enter orders.
Shopify has something like 90% of the e-commerce of companies below $250 million. It’s designed for what you’re doing instead of you designing a spreadsheet to do what you’re trying to do. Also allows you to purchase shipping labels at a discounted rate…
Notion is all you need
libreoffice - open source and free -- i integrated the headless version in my agent harness: https://github.com/rush86999/atom/blob/main/docs/architecture/WORKBOOK_RUNTIME.md
Shopify for us.
Have you tried Microsoft access? It does all this I believe.
airtable, orders and stock in one place and it can catch dupes automatically. if it ever outgrows that a small custom tool built around your workflow isnt pricey
Google Sheets and use all of Google Drive
we built something for a client. The issue is that excel isnt an accounting or erp or mes system, excel is a tool.
Very interesting question, 15 hour old Reddit account posting either in the middle of the night, or more likely from India
The duplicate shipment is usually the sign that it's time to move beyond Excel. You don't need a big ERP or expensive software. A lightweight custom order & inventory system can eliminate duplicate orders, track stock in real time, and give you a much cleaner workflow without features you'll never use. We're GLAD Studio, and we've helped small businesses replace messy spreadsheets with simple systems built around how they actually work. Out of curiosity, how many orders and SKUs are you managing? If you share that, we can suggest the simplest setup—and even mock up what your dashboard could look like.
Two channels logging the same order into one sheet is where it always breaks down. The duplicate shipment isn't really an Excel problem, it's a queue problem. Once orders are coming in from WhatsApp, Instagram, and walk-ins with no single entry point, no tool fixes it on its own. A form that funnels everything into one place before it hits any tracking sheet would stop most of this before it starts.
Given that you’ve only been here for 16 minutes, why don’t you take some time and read through some prior posts instead of farming?
