How are you handling instant Meta Lead Ad notifications for clients without paying $30+/mo per account for Zapier?

Hey everyone, Running Facebook & Instagram Lead Ads for clients works great, but the biggest hurdle is speed-to-lead. When leads sit inside Facebook Business Manager for hours before a client checks them, conversion rates drop dramatically. Forwarding webhooks to instant phone alerts solves this, but setting up Zapier or LeadSync per client account gets really expensive when managing multiple client pages ($20–$50/mo per account). I ended up building a simple webhook tool for our team that forwards Meta Lead Ads straight to a phone alerts in sub-second speed for a one-time fee instead of a monthly subscription. Curiously for agency owners here: Do you pass monthly Zapier/LeadSync fees directly to clients in your monthly retainers? Or do you just rely on default CSV downloads / email digests? Would love to hear how other media buyers handle lead dispatch!

we just include it in retainer and don't make a big deal about it. most clients don't even look at line items that close, they just care if leads are coming in fast or not. for smaller accounts where $30 extra hurts the margin too much, i set up the email notification that facebook sends by default. it's not instant but it's free and for some businesses a 15 minute delay don't really matter. what did you build exactly? always curious about tools that skip the monthly fees, those add up fast when you got like 8-10 clients.
$30/mo per account definitely adds up fast when managing 8-10 clients. The tool is called LeadChirp. It connects Meta Lead Ads (via 1-click Facebook Login) or website forms directly to Telegram phone alerts in 0.4 seconds. Instead of relying on email digests, the notification arrives on your phone with the query/user contact details. It can also routes leads to shared team group chats and automatically appends every lead into a Google Sheet in real-time. I priced it at a single £29 (~$36) lifetime pass for unlimited leads instead of charging monthly per-client subscriptions.
We pay for GHL which has native meta integration. We alert them of a new lead, and have an AI agent qualify & book them in. Leads are never waiting for a response really ever. Like you said, that can drastically affect conversions. Alas, $300 / mo for GHL but when you're working with multiple clients offering multiple different tools, it makes the most sense.
GHL is definitely the heavy-hitter for full-stack agency setups running automated AI booking sequences! If you're utilizing the full CRM ecosystem, the $300/mo makes complete sense for that workflow. I consciously chose not to shoehorn AI agents into LeadChirp, there’s so much AI fatigue right now with forced chatbots and automated replies, whereas a lot of local service businesses and human sales reps just want a real person to call the customer back immediately. LeadChirp is built for that opposite end of the spectrum, freelancers, solo media buyers, or smaller clients who don't need a complex $300/mo CRM stack and just want lightweight 0.4s phone push alerts to Telegram and Google Sheets without any monthly software fees.
Yes, we pass down the Zapier costs to client, so they “own” their integrations, usually discuss is on top of their ad budget as Ops Expense
