you’ve gotta set reminders or it’s easy to let stuff slip. i use a simple calendar alert the day after an estimate, just to nudge me. if they ghost you, don’t take it personally though - people forget. but yeah, missed follow-ups happen all the time when you’re juggling too much.
at my agency we set a calendar reminder for 2 days after the promised date, not the day after. gives them a buffer but keeps it from falling off the radar. also helps to log it in a simple crm or even just a shared google sheet with a status column so anyone on the team can see what's pending.
Use something like Wave and have it send reminders
The gap isn't really the reminder, it's the moment you got the yes. "I'll pay Friday" over the phone or in a text carries no commitment at all, and you both know it, which is why Friday comes and goes. Two things that fix this more than any follow-up system. Ask for a deposit when they accept, even 20 percent. People who've put money down don't forget. And the ones who refuse to put anything down were usually the ones who'd have gone quiet anyway, so you find that out on day one instead of three weeks later. Then when you do chase, chase before the date, not after. A short message on Thursday saying "just confirming we're still good for tomorrow" reads as organised. The exact same message on Monday reads as chasing, and by then you've lost the high ground. The automation part is genuinely easy once those two are in place. A nudge two days out, one on the day. Without them you're just automating being ignored more efficiently.
Put an expiry on the estimate. "This price holds 14 days" gives you a reason to call that's easier than chasing money, and it puts the deadline on the document instead of in your head. And set up automatic reminders.
I think you're just fairly bad at running a business if this is true.
